Understanding Profile Elements
A file’s location (folder path) is determined by the CabinetsCabinets are “containers” for Worldox document profiles. They were known as "Profile Groups" in previous versions of Worldox. A Cabinet is a category of profile (a form used to profile documents). Worldox allows up to 150 different cabinets. For example, you may have one cabinet for administrative documents and another documents associated with litigation. Each cabinet utilizes a unique profile form, with a characteristic set of fields. As individual documents are profiled, users first select the cabinet, then use that group’s profile form to describe the document. Each profile form also has a unique base path and may have individual settings that differ from other cabinets. Different cabinets can be created for different types of documents or for different levels of user access. For example, many sites that want to maintain their existing documents as a reference-only repository, create a read-only cabinet to point to these documents. This gives users access, but prevents them from saving new documents to that “legacy” structure. (known as profile groups in previous versions of Worldox) and metadata (profile) field values used to identify that document.
Metadata forms start with the cabinet choice (or pre-selection, if there is only one group available). Fields on metadata forms – such as Client, Matter, Doc Type and Typist – reflect the fields used for the selected cabinet.
Use the Description field to describe the contents of the file. The description can be up to 128 characters long. After you finish typing your file description, you can press the Enter key to add a line or lines for additional commentsComments are additional notes (if any) available for profiled documents. Comments are created via entry in the Add’l Comments field on profile forms. You can elect to show or hide comments in Worldox worklists.. You can view comments in the file list or in the Comments tab at the bottom of the file list. Comments can hold up to 5,000 characters and are fully text searchable.
Use the Security feature in Worldox to protect the file. Examples of the types of security that can be applied are: Custom, Hidden, and Protected.
