What are column templates?

Column templates are a second way to customize lists in Worldox, the first being window styles.

Whereas window styles allow one style (any combination of style display settings) per list type, column templates have no such restriction. You can save and apply several different templates to use in viewing search results, for example. However, column templates only control the style of worklists - the right-side pane in the Worldox window. This is clearly different from window styles, which also allow you to customize and save navigation panel width and other screen elements not related to worklist columns..

Tip:  There are some similarities between column templates and window styles, but many more differences. Here's a quick guide to how window styles compare to column templates, so you can decide which is best for various purposes.

Browse column templates

To see the list of saved column templates:

  1. Open any worklist. Use the left-side navigation panel, search or other tools to find the list you want.

  2. With that list visible, right-click anywhere within the column header, or in the gray space to the right or left of column headers.

Select Browse Column Templates from the right-click menu. That opens the Browse Column Templates dialog, where you can browse and select saved templates.

Open, apply a column template

  1. Use the left-side navigation panel, search or other tools to find the worklist you need.

  2. With that list visible, right-click anywhere within the column header, or in the gray space to the right or left of column headers.

Select Open Column Template from the right-click menu. That opens a second menu, listing all saved templates.

  1. On that second menu, click the column template you want to apply to the visible worklist.

As this dialog closes, the Worldox screen reloads to display the list in the column template just selected.

Create a column template

  1. Use the left-side navigation panel, search or other tools to find the worklist you need.

  2. With that list visible, adjust the column layout any way you like. There are several types of adjustments possible:

       Add columns

       Remove columns

       Restore default columns

       Re-size columns

       Change column order

       Use  the "best fit" option

       Sort the list

Note:  Depending on how the "Column Headers Size Automatically" preference is set, you may not be able to save changed column widths. If you have questions on this, please contact your Worldox Administrator.

  1. When the list layout is customized to your satisfaction, right-click anywhere within the column header, or in the gray space to the right or left of column headers.

Select Save Column Template from the right-click menu. That opens a Save Column Template dialog. There are two versions of this dialog:

       If the customized list was generated via searching - or by setting filters - then you see the Save Column Template dialog - search/filter. This version has an extra setting, allowing you associate the column template you are saving with lists sharing the same origin.

       Otherwise. you see the standard Save Column Template dialog.

In the Save Column Template dialog:

  1. Associate this template with a specific list type (optional).

If the column template you are saving is based on a list of search results - or on a filtered list - Worldox gives you the Associate with this type of list option to associate the template with other lists of that type.

For filtered lists, the Associate with this type of list association is with a folder location, and with the unique set of filters used on that folder list.

       Select this option to associate files in this location with the filters used here. in effect, this saved column template becomes a pre-set list of filters to be applied whenever you open the list from that folder location.

       Leave the option unselected to not associate this column template with a specific folder and filter set.

For search results, the association is with the search template used to generate the list.

       Select this option to associate this saved column template to the search template used to generate the list of results. in effect, you are declaring that anytime you use that particular search form to search, you want the list of search results to appear as specified in this saved column template.

       Leave the option unselected to not associate this column template with the search template used.

  1. Modify the template name (optional).

As this dialog opens, Worldox suggests a name by referencing the search template used to generate the list (on a list of customized search results), or by combining the column headers (filtered list).

       If that is how you want to identify the new template, just leave this suggested name.

       Otherwise, enter a short, recognizable name for the new template.

  1. Determine who can access this column template (optional).      

Note:  Only designated users have access to the Save Template for choice. If you do not have that user entitlement, any templates created are personal, for Only Me.

Save Template for is preset to Only me. Leave it that way if this is to be a personal template. Or, select Everyone to make this a public, globally -available template..

  1. Click OK to create and save the new column template.

To select and apply saved column templates, right-click anywhere in list column headers, or in the gray space to either side of column headers:

       Select Browse Column Templates on the right-click menu to open the Browse Column Templates dialog, or

       Select a template to apply by clicking Open Column Templates on the right-click menu; saved templates are listed on a submenu.

Save column settings for filtered lists

The instructions below assume you're starting with a list filtered in Worldox. In fact, many users generate filtered lists without even knowing they are doing so, by using action buttons in Outlook to access Worldox content.

If you are interested in creating column templates for lists created this way through Outlook, skip Step 1 below. Instead, go to Outlook and select the content you want. When you see the worklist in Worldox, apply any further filters needed as instructed in Step 2 (optional for you, as you are starting with a filtered list), and continue on from there.

Tip:  There is no "filtered list" window style in Worldox. With column templates, you not only can customize and save filtered list settings, but can create many such templates and associate them with specific locations and filter settings.

  1. Use the left-side navigation panel, search or other tools to find the worklist you need.

  2. Filter the list.

With that list visible, set any filters needed via the Filter bar, or the Tags document tab.

  1. With that list still visible, adjust the column layout any way you like. There are several types of adjustments possible:

       Add columns

Tip:  There is a "search results" window style in Worldox - but only one such style. With column templates, you can create many different templates and associate them with individual search forms,

  1. Use a search template (form) to create a list of results - found files matching your search criteria.

  2. Filter the list. (optional)

With that list visible, set any filters needed via the Filter bar, or the Tags document tab.
