My Workspaces: personalized content for easy access and sharing

There’s something new in the left-side navigation pane.

My Workspaces is a new way to share projects and files in Worldox, also an alternate way to create and manage projects. There are three important benefits to this new feature:

  1. First, My Workspaces is a way to focus on important work items - bookmarked lists, shared workgroup files, links to pre-set, filtered lists (views) and projects available for those profile groups - to keep these items visible and easily accessible in the left-side pane.

  2. Second, My Workspaces is an alternative for creating and managing projects. Here is an example. All you have to do is drag and drop files from any worklist to subscribed, My Workspaces bookmarks and links to create projects, or add files to projects already listed there. You can also see recently opened or created projects listed under Recent Projects.

Tip:  My Workspaces does not replace the Project document tab. Think of it as another way to create and manage projects.

  1. Third, My Workspaces opens the door to workgroup sharing. Starting in GX3, a special User Files profile group is set up automatically with each new Worldox installation. Project or team members can profile documents and projects into that group, then subscribe to the work folders of other team members to share their files.

Content eligibility for My Workspaces sharing starts with a configuration setting used by Administrators in WDADMIN. Checking that option for a profile group makes it project folders enabled, meaning folders, projects, search forms and views for that group are open to subscription (described below).

What appears in your My Workspaces zone is completely up to you. It's your personal content zone.

Subscription is the process by which you choose to list available bookmarks (bookmarked folder locations) and profile group links in the left-side folder pane. Subscribed profile group locations are those you select, the ones you want to see highlighted this way. You can think of this as another type of bookmarking, a way to create visible shortcuts to often-visited locations or lists.
