Best Practice - Workflow Maintenance

For several reasons, you should delete concluded workflows (those you initiated) on a regular basis.

First, there is no advantage to saving the workflows themselves after conclusion. Worldox automatically generates email receipts when workflows succeed, fail or time out. As the workflow initiator, those emails are your receipts. You should save them, preferably even profiling them into Worldox.

There are disadvantages to not deleting concluded workflows.

Especially if you often initiate workflows, it’s very easy to accumulate many completed listings. That leads to a certain amount of extra navigation in the My Workflows dialog (which was not designed to accommodate very long lists of workflows.)

Even more important, all those concluded workflows have to be managed by Worldox. Given enough activity – and enough people at your firm creating workflows – this will ultimate affect performance.

For these reasons, we recommend that you:

1. Regularly delete completed workflows from the Sent Closed tab in My Workflows.

2. Save and profile automatic email notifications (see Automatic Email Notification on Completion) from Worldox. These are your proof of completed workflows, and of workflow results.
