Preference-setting: quick guide

Preferences allow you to customize and fine-tune how Worldox operates, to better fit the way you work. It's easy to set or change preferences.

Here are some common scenarios in which preferences can make you more productive, showing suggested settings in the Edit > Preferences > Worldox dialog (accessed via the Preferences > Worldox choice on the Edit pull-down menu):

Note:  Regarding the Anyone designation in the Who can change it column below - "anyone" means any Worldox user with the rights to edit preferences. Not all users are granted these rights.

As you open files in Worldox, the Worldox application window stays visible ... sometimes hiding dialogs in other desktop programs.

Open Launch/Minimize Worldox on Launch

This is typically set to Yes, but may be different at your firm.

        Set to Yes (or the default setting) to hide the Worldox window as a new application opens from within Worldox.

        Set to No to leave the Worldox window visible as new applications open.

Anyone

Document versioning is not working as users expect ... or you want to check and see how versioning works at your site.

Save As Options/New Ver is Last Save

The default setting is No.

        Set to No (or the default setting), to maintain the previous version as it was when it first opened.   

        Set to Yes, so that the previous version is maintained as it was last saved.   

Note:  However the versioning preference is set, please make sure users are comfortable with versioning. A little training here goes a long way.

Admins, Mgrs

You use Favorite files often, find yourself wishing you could have more than 20 favorites in a particular list or category.

Favorite Files History/Maximum Favorite Files

The default maximum is 20. Set this to any number you want.

Anyone

The top part of the left-side navigation panel resizes as you move the cursor in and out of that area.

You find this distracting.

File List Options/navigation panel Auto Expands

The default is Yes. Set this to No to disable automatic navigation panel resizing.

With the preference set to No, the navigation panel width stays the same until you manually re-size it.

You like seeing comments on worklists, but they are taking up too much room on-screen.

File List Options/Max Comment LInes

The default is 3, meaning up to 3 lines of comments can display for any one worklist item.

Setting this to 1 or 2 should fit more worklist items on-screen.

Copied files always open automatically after being copied. You would rather that not happen.

Copy/Move/Delete Options/Open After Copy

The default is Yes. Set this to No to tell Worldox not to open files automatically after they are copied.

You rarely use pre-defined quick profiles when moving and profiling email, but always see prompts for that option.

The default is Yes. Set this to No to tell Worldox not to prompt for quick profiles on moving/copying email messages.

In text searching, you’ve discovered that Worldox is not finding all documents containing both or all search words you entered.

Find Files Options/Default Interword Boolean

The default is w/3, meaning Worldox looks for documents in which search terms appear within 3 words of each other. With the preference set this way, some documents containing those search words will be excluded from results.

Set it to AND to have Worldox find every file in which multiple search terms appear, wherever they appear. (Here are descriptions of AND, OR and other search commands.)

You always minimize the My Computer area in the left-side navigation panel.

However, every time Worldox starts up again, the My Computer folder is open again.

File List Options/My Computer Auto Expands

The default is Yes. Set this to No to have the My Computer zone stay closed until you decide to open it.

You often preview email messages in Worldox, on the Email tab, rather than opening each message.

Though you have read the previewed messages, they are not marked as read in Outlook.

Email/Mark Read When Previewed

The default is No. Set this to Yes to change email message status to read when the messages are previewed in Worldox.

You often do text searches. The matching word suggestions are helpful, but you rarely use "sounds like" suggestions, and would rather not see them.

Find Files/Max "Sounds Like" Words

The default number is 25, meaning Worldox can suggest up to 25 "sounds like" choices when entry is made in search form text fields.

Set this to a lower number to minimize such suggestions, or set it to 0 to tell Worldox you don't want to see "sounds like" suggestions.

Document naming is important, so you would much prefer that this field (Description) appear higher up on the profile form.

Save As Options/Description on Top

The default is No. Set this to Yes to move the Description field to the top of the File > Save As profile form.

You rarely use the Worldox Filter bar, so most often hide it.

However, the Filter bar appears again whenever Worldox restarts.

File Filter List/Show File Filter

The default is Yes, meaning the Filter bar appears automatically on the application window.

Set to No to hide the Filter bar permanently - or at least until you change this preference again.
