Creating, managing projects

Projects are groups of otherwise unrelated files, often used to share and collaborate.

TIP:  You can also drag and drop files to create projects in My Workspaces in the left-side navigation panel.

The Project document tab makes it easy to create and change projects in Worldox. Here's how it works.

  1. Use the left-side navigation panel, search or other tools to find the worklist you need. (This may be the first of several worklists you'll be accessing to create the project, or the only one.)

  2. When the worklist opens, click the Project or icon at the bottom right of the screen. That opens the Project document tab.

  3. Add files from the worklist to the new project.

As the Project tab opens, it should be empty. Highlight (select) one or more files on the worklist, then drag them to the open Project tab and drop. The alternate method is to select one or more files, then click Add File in the Project tab. Either method achieves the desired result.

Note:  You can drag and drop several files at once. If you select more than one, Worldox asks you to confirm your selection, in the Clarify Selection dialog. If you see this dialog, choose the appropriate option and click Continue.

  1. Add more files to the project. (optional)

Open other worklists, adding any other files needed for the project as instructed in Step 3. The Project tab stays open as worklists open and close above it.

  1. Check the project; make any changes needed.

       If you're not sure whether a file just added is the right one, select it on the Project tab and click Views. That opens the Viewer window, where you can view the document.

       If you need to remove one or more files from the draft project list, select those files, then click Remove File.

Note:  You can remove several files at once. If you select more than one, Worldox asks you to confirm your selection, in the Clarify Selection dialog. If you see this dialog, choose the appropriate option and click Continue.

  1. Click Save As in the Project tab to save the new project.

  2. Profile the project.

Then, depending on how profile groups and user access are set up at your site, you could see the Select Profile Group dialog, overlying the Project > Save As dialog (same as the File Save profile form). In the Select Profile Group dialog, double-click the profile group to which file(s) are being copied, or highlight that listing and click Select in the toolbar.

Otherwise, you go straight to the Project > Save As dialog.

Tip:  The File Save form is also called File Save As, when you reach it through a File > Save As action in Word or other applications. Or Project > Save As, when you are saving newly-created projects. Functionally, these forms are the same, regardless of name.

Next step:  Fill out the Project > Save As form to finish saving the project.

Add/remove project files, via the Project tab

Tip:  You can also drag and drop to add files to projects via My Workspaces in the left-side navigation panel.

  1. Use the left-side navigation panel, search or other tools to find the worklist you need.

Tip:  Projects use a unique .WDL file extension in Worldox. That makes it easy to search for projects, and to filter long worklists to find projects in those lists.

  1. Open the project.

  1. Highlight (select)  the project file, then click the Project or icon at the bottom right of the screen. That opens the Project document tab.

  2. Click Edit on the right side of the Project tab.

That opens the project for editing in the Project tab.

  1. Make any changes needed.

To add files to the project:

  1. Files can be added from the currently-visible worklist or from any other. Open the worklist you need.

  2. Highlight (select) one or more files on the worklist, then drag them to the open Project tab and drop. The alternate method is to select one or more files, then click Add File in the Project tab. Either method achieves the desired result.

  1. Add any other files needed.

To remove files from the project, select those files on the Project tab, then click Remove File.

Note:  You can add or remove several files at once. If you select more than one, Worldox asks you to confirm your selection, in the Clarify Selection dialog. If you see this dialog, choose the appropriate option and click Continue.

  1. Save your changes.

  1. When you're done adding and/or removing files, click Close in the Project tab.

  2. Worldox then asks if you want to save the project, in the Close Project dialog. Click Yes.

  3. Next you see the Save Project dialog. In that dialog, make sure the Replace project setting is selected, then click OK.

Note:  If you elect to save this changed project as a new one - or click instead - Worldox asks you to profile the new project. In which case, your next step would be to Fill out the Project > Save As form.

Creating, managing projects in My Workspaces

My Workspaces offers several compelling benefits. High on the list is the way you can use My Workspaces to create and modify projects. It's a drag and drop alternative to the Projects tab, with two significant differences:

       Projects created in My Workspaces are profiled automatically, based upon the subscribed profile group locations in which they are created.

       Projects created this way are shared automatically as well, by any other users who subscribe to the profile group locations in which these projects are located.

Rename a project

If the project is visible in My Workspaces, you can simply right click that listing and select Rename Project from the right-click menu. That opens the Rename Project dialog.

The other option is to use the left-side navigation panel, search or other tools to find the project you want to rename. Select it on the worklist and click Profile in the toolbar, or select Profile from the Edit pull-down menu. When the Edit Profile dialog appears, change the Description field (which is the project name) as needed, then click OK.

Bookmark a project

You can bookmark a list of project files, just as you would bookmark any other worklist.

  1. Use the left-side navigation panel, search or other tools to find the worklist you need. Or, look for the project in My Workspaces, in the navigation panel.

  2. Double click the project. That opens a new worklist showing all project files.

  3. With that project file list visible, select Add this List from the Bookmark pull-down menu. That opens the Bookmark > Add this List dialog.

  1. Change the Bookmark Name if necessary, and choose Pin to Button bar if you want this bookmark to stay visible on the Worldox bookmark bar (beneath the toolbar).

  2. Click  Save.
