• Create a new message and attach files
• Opening email links sent from Worldox
Depending on which email program is in use at your site, you may have access to this helpful option on worklists - the ability to create new email messages and attach files (or links) in one simple operation.
To create a new email message with one or more files attached:
Use the left-side navigation panel, search or other tools to locate folders and documents.
Highlight (select) the file listing(s) in the right-side worklist, then select E-Mail from the File pull-down list. You could also right-click with the file(s) highlighted and select E-Mail from the right-click menu. (If you don't see it on the top-level right-click menu, click More and look on the secondary menu.) That opens the File > Email ... dialog.
Note: You can attach and email multiple files at once. If you select more than one file, Worldox asks you to confirm your selection, in the Clarify Selection dialog. If you see this dialog, choose the appropriate option and click Continue.
In the File > Email ... dialog:
• Select the A full copy of the file choice to attach complete documents to a new email message.
• Select the In a Worldox file list (internal use only) choice to attach a file list - essentially a simple bookmark - to a new email message.
• Select the Encrypted container choice to compress and encrypt selected file(s) into a Zip archive, then attach that archive to a new email message.
Note: Which options appear in this dialog - or whether you have any choices at all - depends on how email preferences are set.
• If you are attaching complete documents, check the Attach with Doc ID ... checkbox to use Doc IDs rather than file names as attachment descriptors. Or, leave this box unchecked to use file names to identify attachments.
• If you are attaching a file list, you can change or accept the list name Worldox suggests, in the Worldox List Name field.
• If you are attaching a Zip archive, you can change or accept the list name Worldox suggests, in the Zip File Name field.
TIP: If you want the options selected in steps 3 and 4 to be pre-selected the next time you see this dialog, click Set as Default. That opens the Set as Default dialog, where you can tell Worldox to make this your default choice. |
Click OK.
Password protect the Zip archive (optional)
If you are attaching a Zip archive, and the zip password preference is enabled, you next see the Zip Password dialog. Enter and confirm a password to protect the archive, then click OK.
At this point a new email message opens in your supported email program, attaching the selected file(s), zip file, shortcut or list.
Tip:
There is another way to attach and email files. Open the
Email tab and click New Message |
When the recipient clicks on the attachment in the email message, they
see the Opening Mail Attachment
dialog (assuming they are using Outlook. After selecting Open
it and then clicking Open,
the recipient sees the file listed in a new worklist in Worldox. The file
can then be opened from there, by selecting it and clicking Open
in the toolbar.
