The Notify Module
The Notify module in the Productivity Suite is based on the Worldox Audit feature.
Worldox Audit tools give Worldox Administrators and Managers the ability to monitor both access and actions taken with Worldox-managed documents. With every action taken – including when a file is opened or viewed – Worldox records the event in a special Audit Trail database. Users with appropriate rights can query the database to research file activity and to create reports.
The Notify module adds an additional, more pro-active capability. Instead of having Administrators wait to search until after the fact (as in the main Audit feature), Notify allows them to select events for one or more files, then specify which users to track in reference to those files and events. As activity is recorded on those files – matching specified events and users – Notify automatically generates emails to designated recipients.
The Notify Process
Access to the set-up portion the Notify module will most likely be tightly controlled at your company. Just as with Worldox Audit, only Administrators or Managers are likely to have rights to define and monitor notifications.
Non-administrator level Worldox user can be the recipients of notification emails, at the discretion of the person setting up individual notification requests.
Notes:
Some instructions in this section assume Administrator-level access rights. It is not likely that all users in your firm will have these rights.
