Using address rules

Address rules help Worldox profile outgoing email messages based on earlier profiling actions. The process is called "smart profiling".

Address rules also give you a way to exempt certain outbound emails from profiling. Just identify an email address, then tell Worldox the conditions under which mail to this address should be exempted. Based on that rule, Worldox then knows when to automatically prompt you for email copy/move profiling, and when not to.

Create an address rule

  1. Click on the Email worklist tab.

  2. With the Email tab visible, select Address Rules from the Edit pull-down list. That opens the Edit > Address Rules dialog.

In the Edit > Address Rules dialog:

  1. Click in the toolbar. That opens the Add Rule dialog

In the Add Rule dialog:

  1. Select or identify email address(es) to which this rule will apply, in the Addresses dialog zone:

         Select All Internal Addresses to apply the rule to all addresses in the same domain at your Worldox site. Using this setting applies the rule to any mail you send to coworkers.

         Select All External Addresses to apply the rule to all addresses except those at your work site.

         Click Address Book to select one or more addresses from your linked address book.

         Or, select the Specific Address choice, then enter an address in the open field.

  1. Specify rules and conditions for profiling sent emails, in the Rules section.

The ask/don't ask choices are self-explanatory. Set these as needed to tell Worldox whether - and under what conditions - you should be prompted to profile email sent to an address or addresses.

  1. Set the rule as global (for everyone at your site) or personal.

Note:  Only designated users have access to this global/personal setting. If you do not have that user entitlement, this choice does not appear.

  1. Click OK to save. As the Add Rule dialog closes, you see the new rule listed on the Sent Message dialog list.

Edit address rules

  1. Click on the Email worklist tab.

  2. With the Email tab visible, select Address Rules from the Edit pull-down list. That opens the Edit > Address Rules dialog.

In the Edit > Address Rules dialog:

  1. Highlight (select) the rule(s) you want to edit and click Edit in the toolbar. That opens the Edit Rule dialog.

In the Edit Rule dialog:

  1. Change rules and conditions for profiling sent emails as needed, in the Rules section.

  1. Click OK to save your changes. As the Edit Rule dialog closes, you see the changed rule listed on the Sent Message dialog list.

Delete an address rule

  1. Click on the Email worklist tab.

  2. With the Email tab visible, select Address Rules from the Edit pull-down menu. That opens the Edit > Address Rules dialog.

In the Edit > Address Rules dialog:

  1. Highlight (select) the rule(s) you want to delete and click Delete in the toolbar.  That deletes the address rule, removing it from the Sent Message dialog list.
