Profiling is the process of classifying and saving documents in Worldox repositories (folders). These file actions can initiate profiling in Worldox:
• Open an as yet unprofiled document.
• Drag and drop files to the WorkZone desktop icon
In Worldox, you profile (classify) documents as they are saved, copied or moved. Profiling gives Worldox the information it needs to manage and track files.
Tip: To see what's in a document profile, select that file in a worklist and open the Profile tab at the bottom right of the Worldox window. |
With Worldox running on your desktop, certain dialog windows open automatically as you create/save new documents, or elect to move or copy existing ones into Worldox. Profiling applies to every type of document - from letters and email to spreadsheets, graphics and even sound files.
Profiling always involves these basic steps:
Select profile group (assuming your firm has multiple groups, and you have the rights to choose a group). This step may be optional for certain functions, depending on how your site is set up.
Fill in required/optional profile fields, selecting identifiers from profile field tables.
Add file security and/or other optional elements.
Save the profiled document or file.
Note: Once a file is profiled, it is under Worldox control. Profiles are not set in stone. They can easily be changed as needed. Depending on your specific user entitlements, you could well have the ability to edit profiles. If you have questions on profiling, please ask your Worldox Manager.
The Select Profile Group dialog handles that first step in profiling, the profile group choice. The other important forms have different names, but are rather similar:
• WorkZone - File Save As dialog
All these forms share certain common fields and choices. Here's a quick visual tour of a profile form.
