Please note: Worldox GX3 brings additional changes made since this topic was written. So illustrations and references here may not match what you see on GX3 screens and dialogs.
The new word matching feature activates automatically as you type in the Name/Comment or Text in File fields in the Find Files dialog. When you pause or finish typing, Worldox shows all words matching what has been typed so far.
Example: Here the user pauses after typing part of a word in the Name/Comment field.
You may see a second matching word list as well for the Text in File field.
Example: Here the user pauses after typing "tele" in the Text in File field. A second list with suggested alternatives appears alongside the main list
The <Sounds like> suggested word list is computed by comparing your input against dictionaries to come up with possible phonetic alternatives. Not all suggestions actually represent valid alternatives.
Example: Most suggestions here would probably not lead to successful searches.
Note: <Sounds Like> lists appear only for the Text in File field, never for Name/Comment.
This automatic feature produces matches under the following conditions:
• The word entered contains 3 or more letters.
• The user stops typing for more than ½ second.
• The Search What setting on the Find Files form is either Active and/or Archive.
This automatic word matching feature works together with Worldox's ability to index (manage) files and text within files. Indexing produces two databases used behind the scenes to speed up searching:
• The Profile database tracks profile field identifiers, Doc IDs and name/description fields for all Worldox-managed documents.
• The Text database tracks words and phrases contained in document text, for all Worldox-managed documents.
Matching words returned for Name/Comment field entries are derived from the Profile database. If the user enters a word not found in the database, the first line will be <Not on file>, followed by words (if any) beginning with the same letters.
Example: Here you can see that there are matching words which are not found in the Profile database.
Searching for one of these Not on file matched words will yield no results. One purpose in displaying such matches is to tell the user up-front whether the search word even exists in any profiled documents.
Note: Matching words are derived from ALL documents indexed in the selected profile group(s). It is possible to see words matched from within files the user cannot access, due to security filters or restrictions. Bottom line: just because a matching word is listed does not mean a search on that word will yield results.
When matching on text entered in the Text in File field, there may be a short delay due to the enormous number of words in the text database.
Depending on your user entitlements, you may be able to change or turn off the word matching feature in Worldox preferences. The color of matching word lists can be customized as well
