• Accessing off-line documents
Mirroring is an access strategy used by Worldox. Here is how it works:
• Worldox application and document files are stored in a central, network location at your firm.
• As you use Worldox, you are using a mix of shared (network) files and local document files.
• Document files are mirrored (copied and downloaded) to your local computer’s hard drive as you work with them. This process is called mirror saving.
• Mirroring documents guarantees continued access, even if your local machine is disconnected from shared networks.
• Any updates or changes you make to an opened document file happens locally, at your workstation.
• Worldox copies changed documents back up to the network, replacing old files.
• As soon as you open a document, that file is protected. Other users can view it during the time you have it open - and can create their own copies - but cannot change the original document as long as you have it.
Note: Mirroring is not the same as versioning, which is the intentional creation of successive, new versions of any one document, with the option of preserving earlier versions unchanged.
Mirroring will be largely invisible to you most of the time. If you are set up to work this way at your firm, mirroring happens in the background, automatically.
Tip:
To see if Worldox is working off-line, just look down at the bottom
right of your screen. The |
Your Worldox Administrator sets up the schedules Worldox uses to find, upload and then delete any mirrored, local documents after a defined period of time, typically seven days.
Note: As always, if you have questions about your Worldox entitlements and set-up, please check with your Worldox Administrator.
Documents that you have been created and/or changed while you were working off-line recently can be located in Worldox in Off-line folders.
Use the left-side navigation pane to find the profile group in which those recently saved files are located.
Click
to expand a profile group folder, then click the Off-line
folder:
You can edit off-line documents or save the document as new. However, you CANNOT make a new version of a document off line. When you reconnect to the network you will be prompted by Worldox to check in the document.
Note: Documents that are accessible in off-line folders can also be located by entering the document number on the Location bar.
