FAQs about categories

       Question: What are categories?

Answer: Categories help you organize and locate information. They’ve been improved in GX3 by the introduction of colorful icons along with text-based descriptions. This new feature replaces the Libraries feature of older Worldox versions. Category tags are visible in a new Categories column available on Worldox file lists. The main advantage of using categories is that they make it possible to quickly identify and relate files based on shared file characteristics or requirements. This is very similar to the Categories feature found in MS Outlook, so you may already be familiar with it.

       Question: How do I start using categories?

Answer: Categories is turned on by default, so it's ready for use when GX3 is installed (or you upgrade to GX3). Any folder-based libraries already available to you should automatically appear as before. The interface to use categories is fairly intuitive. The most common way to work would be by right mouse-clicking files in the Categories column on worklists.  

       Question: When can I assign files to categories?

Answer: Assignments can be made in many ways. The most common way would be directly from a Worldox file list. Worldox preferences can be set to automatically solicit category assignment after Save, Move and Copy actions. To check or change category preferences, select Preferences > Worldox on the Edit pull-down menu, then select Category Options in left-side pane of the preferences dialog.

       Question: How do I see my categories?

Answer: File categories can be made visible by adding a column called Categories to any Worldox worklist. Depending on the size of the column, it will always list the category icon(s), plus as much descriptive text as possible. As with any other Worldox column, you can sort on it. You can also use the bottom Tags tab to filter files by category, as long as that Categories column is visible in the worklist above.

       Question: Are there different types of categories?

Answer: Yes, there are Public, Personal and Folder-based categories. Folder-based categories are the same functionally as the Libraries feature this enhancement replaces. Public categories are those provided by your Worldox Administrator.

       Question: Can a file be in more than one category?

Answer: Yes, you can assign files to multiple categories and are really only limited by screen real estate. When assigning files to categories, you can also select or tag more than one file at a time.

       Question: What if I'm using the old Libraries feature now?

Answer: Any libraries already created - and all library assignments already made - will still be available to you in categories. Just look under the Folder tab on the Edit > Assign to Categories dialog. These are the relationships formerly called libraries. You can add new Folder categories and manage file assignments as instructed above. The only thing that changes is the name, and where the Folder categories (formerly called libraries) are found.

       Question: Can I assign or remove categories for more than one file at a time?

Answer: Yes you can, by tagging more than one file using the checkboxes on a file list. Then right-click in the Categories column to manage (add or remove) category assignments on all files checked.

Note:  You can only assign one file at a time using the Edit > Assign to Categories dialog.

       Question: Can I search for categories using the Find command?

Answer: No, not currently. Categories are not search criteria. However, you can find files by category in two ways: by sorting lists on category, and by using the Tags document tab to filter list of files by category.
