WORLD SOFTWARE CORPORATION HAS RELEASED WORLDOX 2002

New release of leading Document Management System features E-mail Management System and new document management capabilities.

January 2, 2003, Ridgewood, NJ - In October of 2002, World Software Corporation^®, a leading provider of document management technology began shipping WORLDOX 2002, the latest release of its multi-award-winning WORLDOX^® Document Management System. WORLDOX 2002 marks a significant step forward in the e-mail management arena, introducing the E-mail Management System and WORLDOX/InBox. The 2002 release also includes Quick Profile templates, Related Documents, Tabbed Worklists, UNC Support, and other new features.

WORLDOX 2002 E-mail Management System

Building upon WORLDOX 2000’s E-mail feature, “DropZone” (Drag & Drop, or Copying, of E-mails and Attachments), WORLDOX 2002 provides powerful new E-mail capabilities, which coexist with WORLDOX’s Document Management System features.

A major core function of the new E-mail Management System is the “WORLDOX/InBox,” which allows users to access their e-mail via a new WORLDOX Email Tab. The WORLDOX/InBox commands are – Copy, Move, Delete, View, Find, Create New Message(s), Mark as (Un) Read, Reply and Forward. The WORLDOX/InBox is compatible with both Outlook and GroupWise E-mail programs.

With WORLDOX 2002, users can copy or move E-mails from the Mail server to the central WORLDOX Document and E-mail Repository or shared Client/Matter document repository. The E-mails and attachments then become indexed, searchable, and viewable within WORLDOX, and are rendered “read-only,” which ensures that they cannot be altered.

A bonus feature for Outlook users, wherein WORLDOX inserts “Move to WORLDOX” and “Copy to WORLDOX” buttons directly onto the Outlook/InBox tool bar, has been added so users can profile documents without leaving Outlook.

As a result of this new Move command (“Drop Zone” was Copy only), WORLDOX 2002 users are now able to move e-mails and attachments off the Mail server to the File Server. This move function reduces Mail Server volume, an increasingly important priority for IT managers, as message volume continues to grow dramatically.

Quick Profiles

WORLDOX 2002 debuts Quick Profiles, a template building feature that allows the user to create a menu of Quick Profile templates for faster profiling. The Quick Profile window pops up alongside the WORLDOX Profile window, displaying a menu of Quick Profile templates. With one click, users can Load a Quick Profile template to populate part or all of the document profile fields. The Quick Profile template feature makes profiling easier and more customizable, saving users from spending time filling out each profile field one at a time. Users can either create and save their own Quick Profile templates on the fly, according to their own customization needs, or select from Global templates set up by their WORLDOX administrator.

Related Documents

Related Documents is a highly anticipated feature of WORLDOX 2002. As part of its core functionality, WORLDOX provides a standardized file structure assigning every document and e-mail its own unique location in a folder or directory. With the Related Documents feature, documents or e-mails can be related (or linked) to other documents across multiple directories without being moved or copied to a different location. Users can view a document’s list of Relations with a single right mouse click. Documents can be added to a Relations list with a simple drag and drop procedure.

In essence, the Related Documents feature offers an additional way to group documents, an extension to the WORLDOX standardized profiling system.

Tabbed Worklists

WORLDOX 2002 also introduces Tabbed Worklists. Now you can tab back and forth quickly between lists of documents, e-mails, Favorite lists, search results, etc., with one mouse click. The aforementioned WORLDOX/InBox is a permanent Tabbed Worklist, called the WORLDOX Email Tab.

UNC Support

With WORLDOX 2002, World Software introduces a major server-side upgrade of our product line - Universal Naming Convention (UNC) Support. WORLDOX 2002 now fully supports UNC names for data storage. Previous WORLDOX versions required each network drive to be mapped to a consistent drive letter. This requirement is no longer necessary, as an unlimited number of drives may be represented within WORLDOX by their UNC names. Note that there is no immediate impact on existing WORLDOX installations as WORLDOX 2002 continues to support drive letters in the same manner as previous versions. UNC will be an option available to sites requiring it, but sites do not need to adopt UNC unless they elect to do so.

Additional New Functionality in WORLDOX 2002

• Spell checker for File Description and Comments Fields;
• Formatted Date Fields – provides date ranges searching via WORLDOX profile fields;
• Longer profile directory level fields, up to 12 characters;
• Docs to Go – a new feature that uses the WORLDOX "SEND TO" command. Docs to Go allows for the copying of files to local drives for offline access. The data can be flagged 'Read Only" as an option, thereby preventing them from being copied back and overwriting originals. This feature is very useful when large amounts of data are needed to be placed locally for offline reference.
• Simplified Competitor Conversion Software to facilitate conversions from iManage and PC DOCS.

Pricing Information about WORLDOX 2002

WORLDOX 2002 software license price is $395 USD per concurrent user for the U.S. and Canada. International pricing inquiries can be directed to World Software at 001-201-444-3228 or sales@worldox.com.

The WORLDOX Maintenance Price is $70 USD per license per year. This price applies to new U.S. and Canada customer orders, including orders of additional licenses to existing sites, and maintenance renewals.

World Software Corporation began shipping the WORLDOX 2002 upgrade to existing customers in December of 2002. WORLDOX customers with a valid Maintenance Agreement effective as of 12/31/02 can request and receive the upgrade to WORLDOX 2002 at no additional charge. Copies of older WORLDOX versions (96, 8 and 2000) that are purchased after 12/31/02 are subject to an upgrade charge when they request their upgrade to WORLDOX 2002. The upgrade costs are $100 for WORLDOX 96 to 2002, and $45 for WORLDOX 8 and 2000 to WORLDOX 2002.
