Create a new category

  1. Select Assign to Categories on the Edit pull-down menu. Or, right-click anywhere in the Categories column on any file list, then select Add/Edit Categories. Either action opens the Edit > Assign to Categories dialog.

  2. Select the tab in which you want the new category to appear. Managers have the ability to create Public categories - to be used by all, or Personal ones. Other Worldox users with category > add rights can create Personal categories only.

  3. Click Add in the toolbar. That opens the Category > Add dialog.

  4. In the Category > Add dialog:

  1. Type a descriptive name into the New Category Name field.

  2. Click an icon shown above that field to select it. To see more icon choices, click More. That opens the Icons dialog, where you can select from a larger icon list, then click OK to return here. The selected icon appears to the left of the New Category Name field. (To remove an icon already selected, click None. Note that an icon choice is not required here.)

  3. When the new category is done, click OK. As the Category > Add dialog closes,you see the new category listed in the Edit > Assign Categories dialog.

Edit categories

  1. Select Assign to Categories on the Edit pull-down menu. Or, right-click anywhere in the Categories column on any file list, then select Add/Edit Categories. Either action opens the Edit > Assign to Categories dialog.

  2. In the Edit > Assign to Categories dialog, all categories list on the All tab. Select that tab if it is not already open, then find and select the category you want to edit.

  3. With category selected, click Edit in the toolbar. That opens the Category > Edit dialog.

  4. In the Category > Edit dialog:

  1. Change the category name if necessary in the Edit Category Name field.

  2. You can also change icons as needed. Click an icon shown above that field to select it. To see more icon choices, click More. That opens the Icons dialog, where you can select from a larger icon list, then click OK to return here. The selected icon appears to the left of the Edit Category Name field. (To remove an icon already selected, click None. Note that an icon choice is not required here.)

  3. When all changes have been made, click OK. That closes the Category > Edit dialog, and returns you to the Edit > Assign Categories dialog.  

Delete categories

  1. Select Assign to Categories on the Edit pull-down menu. Or, right-click anywhere in the Categories column on any file list, then select Add/Edit Categories. Either action opens the Edit > Assign to Categories dialog.

  2. In the Edit > Assign to Categories dialog, all categories list on the All tab. Select that tab if it is not already open, then find and select the category(s) you want to remove.

  3. With category selected, click Delete in the toolbar. That opens the Category > Delete dialog.

Note:  You can delete multiple categories at one time. If you select more than one, Worldox asks you to confirm your selection, in the Clarify Selection dialog. If you see this dialog, choose the appropriate option and click Continue.

  1. Click Yes. As the Category > Delete dialog closes, you see that the deleted category no longer appears in the Edit > Assign Categories dialog.

Check, set category preferences

Four Worldox preference settings control automatic prompting for category-related action on these file operations:

       Select on Open

       Assign on Copy

       Assign on Move

       Assign on Save

That first preference affects filtering by category. Setting Select on Open to Yes tells Worldox to open the List > Filter by Category dialog automatically as a file list opens.

The other three preferences control category assignment. Setting any of these to Yes tells Worldox to open the Select Category dialog automatically after that file action concludes.

Assuming you have rights to view and edit preferences, here is how you check or change category preference settings:

  1. Select Preferences > Worldox from the Edit pull-down menu. That opens the Edit > Preferences > Worldox dialog, where preferences are organized into categories.

In the Edit > Preferences > Worldox dialog:

  1. If two tabs appear at the top of the dialog, select Everyone to see global preferences (set for all users at your site), or Only me to see only your personal preferences, those you have set.

Note: This choice may not be available to you. Only Worldox Managers have access to the Everyone tab.

  1. Click the Category Options category in the left-side pane to open category preferences in the right-side pane. (Here are descriptions of what those preferences control.)

  2. Note the two columns in that right-side pane - Value and Default. Default lists the starting preference settings. Value shows the current value.

  3. To change a category preference, double-click a  listing in the right-side pane to open the Change Value dialog.

In the Change Value dialog:

  1. Set or reset the preference.

       Yes tells Worldox to show the Select Category dialog as the file operation concludes.

Example: Setting the Assign on Copy preference to Yes means the Select Category dialog appears after you click Copy on the completed File > Copy profile form.)

The exception is Select on Open. Setting that preference to Yes tells Worldox to open the List > Filter by Category dialog automatically as a file list opens.

       No - the default setting - means there is no prompting for category selection or filtering as the file operation concludes.

  1. Click OK to make the change.

Changed preferences typically take effect immediately, as soon as the Change Value dialog closes. If you do not see the expected changes, select About Worldox from the Help pull-down menu. When the About dialog appears, press CTRL + D. Then click Close on the Debug dialog. That reloads Worldox configuration files.
